Visitor Attendance Management Suggestion
I would like to suggest an enhancement to the Visitor Attendance and Visitor Management process in BNI Engage.
Currently, when a visitor registers for a meeting but does not attend, they remain listed in the chapter's visitor database. This can create confusion for the Leadership Team because the visitor continues to appear in the active visitor list even though they never attended a meeting.
To avoid losing the record, chapters typically leave these visitors in the system. Over time, this can result in a growing list of visitors who never attended, making it difficult for the Leadership Team to distinguish between actual visitors and no-shows, and creating confusion when reviewing visitor activity and reports.
Suggested Improvements:

Add a "Did Not Attend" button on the attendance marking screen.
- This would allow chapters to record that a visitor was expected but did not attend.
- The visitor record would remain available for reporting and follow-up purposes.

Introduce an archive function that automatically archives visitors after a configurable period (for example, 4 weeks) if they have not attended a meeting.
- This would keep the active visitor list clean and easier to manage while preserving historical records.

Automated Follow-Up Email for No-Shows
- It appears that BNI Engage does not currently send an email to visitors who registered but did not attend.

It would be valuable if the system could automatically send a friendly message such as:
"We're sorry we missed you at our meeting. We'd love the opportunity to welcome you in the future. Would you like to arrange a visit on another date?"
- This could help chapters reconnect with potential visitors and improve conversion opportunities.
I believe these enhancements would improve visitor tracking, reporting accuracy, and follow-up processes while reducing administrative confusion for Leadership Teams.

@justin - Thank you for the feedback! The first two are great ideas and I have forwarded them on to the product team. The Automated Follow Up - this is already in place - if a visitor is not marked attended within 2 days, they are sent a follow up with a “Sorry we missed you” asking if they would like to reschedule.
