Visitor Tracking Issue with Shared/Generic Email Addresses
I’d like to share a challenge our chapter is experiencing related to visitor tracking and member data accuracy when businesses use shared or generic email addresses (e.g., sales@, info@, office@).
The Issue:
When multiple individuals from the same company attend as visitors using the same shared email address, the system recognizes them as the same person. This creates several problems:
- Visitors are not always credited accurately to the member who invited them
- New visitors may not be recognized as “new” if that email has been used previously
- Visitor tracking and reporting becomes unreliable at the chapter level
Additional Impact on Membership Records:
This issue also carries over when someone joins using a shared email address:
- Member tenure may be incorrectly tracked if a previous individual used that same email
- Power of One history can be inherited from a prior person in that role
- New members may not receive proper onboarding materials (e.g., welcome kits, badges) due to duplicate email recognition
Why This Matters:
Accurate tracking is critical for:
- Recognizing member efforts (visitor invites, engagement)
- Maintaining fair and accurate Power of One data
- Supporting proper onboarding and member experience
- Ensuring leadership teams can rely on reporting data
Suggested Improvement:
Consider allowing visitor and member records to be uniquely identified beyond just email address (for example: name + company combination, or prompting for duplicate handling when the same email is used).
Alternatively, adding a workaround or best practice guidance for chapters dealing with shared business emails would also be helpful.
